Nature of Work

 

Under general supervision, performs administrative duties of considerable difficulty in routine, diversified or special projects with the Apache County Recorders’ Office.

 

Typical Duties

 

Under the supervision of the Coordinator of Recordings, performs a variety of complex and responsible duties for the Recording Section.  Effective upon the new fiscal year, duties will include the * Voter Registration Section.

 

Recording Section:   Assist in the data base maintenance for the Optical Imaging System in compliance with the Arizona Revised Statutes; Calculate, collect and accounting of Recorder’s fees; Accept or reject documents for recording; Determine and enter document type code, grantor, grantee and legal description (Indexing) of  incoming documents for public retrieval; Assist the public in the usage of research materials including but not limited to: computer indexing system, vault records, microfiche/microfilm and certifying photocopy; Scan each Recording and verify all scanned images. Scan Affidavits of Property Value separately; Proof and make necessary corrections by comparing the Index printout with all documents presented for Recording; Research and enter corresponding references and parcel numbers; Print and affix labels and returned Recorded documents to the owners through the mail; Research and prepare materials to complete and certify UCC3 searches for mail backs.  Maintain current microfiche files and verify incoming microfiche and microfilm rolls.  Answer phone calls and assist the public regarding recording matters including but not limited to: computer indexing system vault records and microfiche/microfilm, follow up research with Assessor’s Office.  Draft correspondence and maintain public work station/counter with materials and ensure that all equipment are operational; May need to travel throughout the County including the Navajo and White Mountain Apache Tribal lands. Other duties as assigned.

 

* Voter Registration Section:  Assist the Voter Registration Section in the maintenance of the Voter Registration database (46,000 voters) in compliance with the Arizona Revised Statutes; Assist in the implementation requirements of the Consent Decree; Assist with Voter Registration drives, i.e. prepare and schedule drives and chapter visits, radio & newspaper ads and posters; Answer phone calls and assist the public with related voter registration and early voting matters; Entering data during elections; Reviewing and verifying voter registration data; Travel throughout the County, which includes the Navajo and White Mountain Tribal lands; Maintain records of service for the Voter Registration trailer; Work irregular hours during Election cycle; Other duties as assigned.

 

MINIMUM QUALIFICATIONS:       

High School Diploma or G.E.D. and five (5) years of progressive administrative experience; Or a combination of academic education, professional training or work experience which demonstrates the ability to perform the job duties.   Able to travel when necessary.
